About the role

We are seeking a dedicated Reception/Administration professional to join our team at Hills Street Sports Medicine Centre in Gosford NSW. This is a part-time position that plays a vital role in maintaining the smooth operation of our clinic and ensuring every patient receives a warm welcome and professional service from the moment they arrive. As the first point of contact for our patients, you will be instrumental in creating a positive experience and supporting the efficient functioning of our healthcare facility.

This position requires availability for rotating shifts to ensure comprehensive coverage of clinic operating hours.

Key responsibilities

  1. Greet patients upon arrival, answer telephone enquiries and direct calls to appropriate staff members

  2. Manage appointment scheduling using clinic management software and ensure the appointment book is maintained accurately

  3. Process patient registrations and update patient records with relevant information

  4. Handle patient payments, process invoices and manage cash handling in accordance with company procedures

  5. Provide patients with general information about services, appointments and facility procedures

  6. Maintain a clean and organised reception area that reflects the professional standards of the clinic

  7. File and retrieve patient records and documents as required by clinic staff

  8. Prepare correspondence, reports and administrative documents

  9. Liaise with healthcare practitioners and support staff to ensure smooth clinic operations

  10. Respond to patient enquiries via email and telephone in a timely and professional manner

  11. Manage basic office tasks including ordering supplies and maintaining clinic inventory

What we're looking for

  1. Proven experience working in a reception or administration role, ideally within a healthcare or medical environment

  2. Minimum 1-2 years of reception or administration experience is required for this position

  3. Strong customer service skills with the ability to remain calm and professional under pressure

  4. Excellent organisational and time management abilities

  5. Proficiency with computer systems, appointment scheduling software and Microsoft Office applications

  6. Intermediate level computer skills are required, including competent use of office software and clinic management systems

  7. Clear verbal and written communication skills with professional telephone manner

  8. Attention to detail and accuracy in record keeping and data entry

  9. Ability to maintain patient confidentiality and comply with privacy legislation

  10. A friendly, approachable demeanour and genuine interest in supporting patients

  11. Reliability and punctuality with flexibility to work part-time hours as required

  12. Experience in medical administration or familiarity with healthcare systems would be advantageous
