About St Luke's Private Hospital and Clinic:

St Luke's Private Hospital is a boutique facility that consists of a day surgery unit, rehabilitation unit, surgical ward, sleep centre and four operating theatres. Hospital’s major specialties include hand surgery, ENT, orthopaedics, plastics, gynaecology, IVF, paediatrics and general surgery. A new state of the art private physiotherapy gym is being developed in the hospital building to support the outpatient service programs including private physiotherapy, GLAD program, Pilates classes and half day rehabilitation. 

About the Role:

We are seeking an experienced and motivated Practice Manager to coordinate and provide all administrative support to our Half Day Rehabilitation and Private Physiotherapy services. This is an excellent opportunity for a practice manager with a can-do attitude and a strong focus on business growth and patient experience.

The successful candidate will balance mostly hands-on administrative support with management responsibilities such as driving service growth, operational efficiency and continuous improvement initiatives.

Key Responsibilities:
  • Manage patient intake, optimise practitioner schedules and ensure smooth day to day front desk operations

  • Manage all appointments through Genie and HotDoc

  • Oversee billing, invoicing, third party claims and ensuring timely payments for all private physiotherapy clients

  • Handle all patient inquiries and resolve any complaints with support of Allied Health Manager

  • Develop and implement strategies to grow referrals and service offerings for half day rehabilitation and private physiotherapy in conjunction with the Allied Health Manager

  • Provide administrative and practice support to the allied health team and Rehabilitation Specialist

  • Manage any debtors with the revenue team

  • Build and maintain strong referral relationships with medical specialists, general medical practices, aged care/support at home providers and community stakeholders

  • Ensure compliance with half day rehabilitation program requirements

  • Effective time management and ability to work within a team

About you:

To be successful in this role, you will possess:

  • Diploma of Practice Management (desirable)

  • Previous experience in practice management or high-level practice administrative position in allied health/physio practice

  • Working knowledge of our practice software – Genie, Webpas and HotDoc (Desirable, training can be provided)

  • Understanding of medical terminology

  • Competent keyboard skills and MS office

  • Excellent communication, stakeholder engagement and relationship-building skills

  • A commitment to delivering exceptional service excellence

  • Working knowledge of Medicare, private health insurance, workers compensation, DVA and NDIS billing procedures and funding arrangements

  • A proactive and innovative approach to service development and business growth
