At Dahlsens, our Logistics & Admin Support team member plays an integral role in the smooth running of our Smeaton Grange branch. This is a genuinely varied, fast-paced position that sits at the centre of daily operations - connecting customers, production, and the branch team to keep everything moving in the right direction.

Your primary focus will be coordinating customer orders from the moment they're booked through to delivery. You'll take incoming orders, enter them accurately into our system, and track them through the confirmation and production process to ensure timelines are met. When schedules shift - as they often do in a busy manufacturing environment - you'll work closely with the Branch Manager and Production Supervisor to communicate changes, adjust plans, and keep customers informed.

Beyond order coordination, this role carries genuine responsibility for branch administration. You'll support the day-to-day administrative functions of the branch, including invoice processing, budget tracking, internal communications, and compliance record-keeping. You'll also have the opportunity to help develop and improve admin procedures, making the branch run more efficiently over time.

RESPONSIBILITIES WILL INCLUDE
  • Receiving and accurately booking customer orders into our system and ensuring they flow through the confirmation and production process without delays
  • Monitoring confirmed orders to ensure production and delivery timelines are met, and actioning any changes in a timely manner
  • Liaising with the Branch Manager and Production Supervisor on job runs, schedule changes, and production priorities
  • Scheduling deliveries to align with customer expectations and production timetables
  • Monitoring timber and hardware supply levels to ensure materials are available without compromising production
  • Assisting with day-to-day branch administration including invoice processing, budget tracking, and reporting
  • Coordinating internal communications to keep branch staff well-informed
  • Supporting compliance and WHS record-keeping obligations for the branch
  • Helping develop, document, and refine administrative procedures to improve branch efficiency
QUALIFICATIONS AND SKILLS
  • Experience in a logistics coordination, order management, administration, or branch support role
  • Strong organisational skills with a high level of attention to detail
  • Excellent communication skills - confident managing customer and supplier relationships over phone and email
  • The ability to manage competing priorities across multiple teams simultaneously
  • Solid computer skills across Microsoft Office; experience with any ERP, scheduling, or order management software is advantageous
  • Ability to work autonomously and make sound decisions in a fast-paced environment
  • Background in building supplies, manufacturing, transport, or trade industries is desirable but not essential
  • Experience with basic financial administration tasks such as invoice processing or budget tracking will be well regarded
