Responsibilities
  • Process documents efficiently and promptly to ensure they are correct and are properly entered into operations systems.
  • Liaise with AQIS, airlines, couriers, Customs Agents, clients, various transport bodies, and Australian Customs as and when required.
  • Book cargo with airlines.
  • Inspect all dangerous goods documentation and cargo (where applicable).
  • Order dry ice and other materials as required.
  • Order/book other third parties as required.
  • Raise permits as required.
  • Act as part of our Quality Assurance Systems, with AQIS.
  • Quote clients as required.
  • Raise invoices from quotations and mail them to clients.
  • Process creditor invoices and CASS.
  • Carry out MSQA duties as approved.
  • Participate in the weekend work roster as required.
  • Promote and enjoy a team environment with fellow employees.
  • Raise any discrepancies or disputes with the Air Freight Manager.
  • Maintain up‑to‑date rate sheets and other information as needed.
  • Take appropriate corrective actions to prevent recurrence of non‑conformances.
  • Record internal and external complaints on QIRs.
  • Document Document Change Requests.
  • Inspect freight received or dispatched to the consignee or shipper.
  • Constrain all sourcing to approved suppliers, review purchase orders, and liaise with the Quality Manager when new suppliers are considered.
  • Complete a skills inventory and record all training on a personal training inventory.
  • Deal with clients and staff in a friendly and professional manner.
  • Maintain a portfolio of clients as assigned.
  • Maintain client work instructions and request changes for SOP amendments.
  • Follow up orders using Hellmann in‑house systems.
  • Maintain monthly/quarterly rates for key customers based on Account Manager instructions.
