Job Summary

The Warranty Administrator is responsible for overseeing warranty claims, ensuring accurate processing, minimizing warranty costs, and improving customer satisfaction. This role coordinates with service teams, suppliers, manufacturers, and customers to manage warranty policies, claim investigations, reporting, and compliance.

Key Responsibilities

  • Manage and process warranty claims efficiently and accurately.

  • Review warranty submissions for compliance with company and manufacturer policies.

  • Investigate warranty issues and determine root causes.

  • Coordinate with suppliers, manufacturers, and service departments regarding claims approvals and reimbursements.

  • Monitor warranty expenses and identify cost-reduction opportunities.

  • Maintain warranty records, databases, and documentation.

  • Prepare warranty performance reports and analytics for management.

  • Ensure adherence to warranty procedures, quality standards, and regulatory requirements.

  • Train staff on warranty policies and claim procedures.

  • Resolve customer complaints related to warranty services.

  • Work closely with quality assurance and operations teams to improve product reliability.

Required Qualifications

  • Strong analytical and problem-solving skills.

  • Excellent communication and negotiation abilities.

  • High Proficiency in Pentana MDS Distributor Power systems, warranty management software, and Microsoft Office.

  • Knowledge of industry warranty standards and compliance requirements.

Preferred Skills

  • Data analysis and reporting

  • Attention to detail

Experience

  • 3–7 years of relevant experience in warranty management, after-sales service, manufacturing, automotive, or related industries.

Work Environment

  • Office-based with coordination across service centres, suppliers, and operations teams.

  • May require occasional travel to vendor or service locations.
